This Privacy Policy explains how Home Office Translator, a trading name of First Elite Global T.E.P Services LLC, handles personal information when you use this website, request a quotation, contact us, upload documents or place an order.
For privacy enquiries, contact hello@homeofficetranslator.co.uk.
1. Information we may collect
Depending on how you use the service, we may collect or receive:
- your name, email address and other contact details you provide;
- information you include in a quotation request, contact form, email or order;
- documents, scans, photographs, PDFs and other files you upload for review, translation, certification or order fulfilment;
- information contained within those documents, which may include names, dates, addresses, identification details, signatures or other personal information;
- order, quotation, delivery and payment-related information;
- technical information such as IP address, browser/device information, pages viewed, referral information and website interaction data where collected by our website, security or analytics tools; and
- records needed to administer enquiries, orders, corrections, disputes or customer support.
Documents supplied for translation can sometimes contain sensitive or special-category information. Where such information is included in a document you choose to send us, we use it only to the extent necessary to assess or provide the requested service and as permitted by applicable data-protection law.
2. Why we use personal information
We may use personal information to:
- review documents and respond to quotation or service enquiries;
- provide translation, certification and related services you request;
- communicate about an enquiry or order;
- process and administer payments, refunds and order records;
- deliver completed work and provide customer support;
- check document instructions, names, dates and other details needed to complete the service;
- protect the website, accounts and transactions from misuse, security incidents or fraud;
- maintain business, accounting and compliance records where required; and
- understand and improve website performance where optional analytics or similar technologies are permitted.
3. Lawful bases
The lawful basis depends on the purpose for which information is used. We may rely on:
- Contract, where the information is needed to take steps at your request before entering into a contract or to provide an agreed service;
- Legal obligation, where we need to keep or use information to meet an applicable legal, regulatory, accounting or compliance requirement;
- Legitimate interests, where necessary for proportionate business purposes such as service administration, security, fraud prevention, maintaining records, handling disputes or improving the operation of the website, provided those interests are not overridden by your rights and interests; and
- Consent, where consent is required for optional cookies, analytics or another specific use. Where we rely on consent, you may withdraw it.
4. Document uploads and translation files
Please send only the information reasonably necessary for the service. Uploaded documents may contain personal information relating to you or other people. You are responsible for ensuring you are entitled to provide those documents to us for the requested service.
Files may be reviewed and used by personnel or service providers involved in assessing, translating, checking, certifying, formatting, delivering or supporting the order, where access is necessary for that work.
Where automated translation or optical character recognition is used for an eligible order, the relevant document or document content may be transmitted to configured processing providers such as DeepL, O.Translator or Google Cloud Vision so that the requested translation or text extraction can be performed. These services are used only where needed for the order workflow and are subject to their own service and privacy terms.
5. Payments
The website uses an order system that can direct customers to Stripe Checkout for payment. Where Stripe Checkout is used, payment information is submitted through Stripe’s payment interface. We use the resulting transaction and order information to administer the service, payment status, refunds where applicable and accounting records.
6. Cookies, analytics and website measurement
The website uses a cookie-consent system that is configured to block non-essential scripts pending the applicable consent choice. Current website measurement tools include Google Analytics 4 through Google Site Kit and Microsoft Clarity.
These tools may collect technical and usage information about visits to the website. Where consent is required for non-essential cookies or tracking, those technologies are intended to operate in accordance with the consent choice recorded through the website’s cookie controls.
7. Website security and operational services
We use website, hosting, security, email, analytics, payment and order-processing services to operate the site and provide the service. The current WordPress installation includes security and operational tools such as Wordfence, Jetpack, Google Site Kit, Microsoft Clarity, CookieAdmin, the website contact form and the CertifyPro order system.
Service providers may process information on our behalf or, for some services, under their own terms and privacy responsibilities. Depending on the service used, this can include hosting and email providers, Stripe for payment processing, Google services, Microsoft Clarity, DeepL, O.Translator and other operational providers used to deliver or support an order. We share only information reasonably necessary for the relevant service or where disclosure is required by law.
8. International service providers
Some technology and payment providers used by the website operate internationally. Their processing may therefore involve countries outside the United Kingdom. Where international transfers of personal information are subject to data-protection requirements, the relevant provider arrangements and applicable transfer safeguards apply.
9. How long we keep information
We do not use one retention period for every type of information. We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing the requested service, maintaining necessary business or accounting records, meeting legal obligations, resolving disputes, preventing fraud and protecting our legal rights.
For customer order documents and related working files, our current operational retention target is 90 days. Some information may need to be retained for longer where this is necessary for accounting, legal, fraud-prevention, dispute-resolution or other legitimate compliance purposes, and historical records created under earlier processes may also have different retention periods.
The appropriate period can therefore depend on the type of enquiry, document, order, transaction and any legal or contractual requirements that apply. If you need a specific retention arrangement for a particular document or order, contact us before sending the material so the requirement can be considered.
10. Your data-protection rights
Depending on the circumstances and applicable law, you may have rights to request access to your personal information, ask for inaccurate information to be corrected, request deletion, request restriction of processing, object to certain processing, request data portability, or withdraw consent where consent is the basis relied upon.
To make a privacy request, email hello@homeofficetranslator.co.uk. We may need information to verify your identity before acting on a request.
You may also have the right to raise a concern with the UK Information Commissioner’s Office or another competent data-protection authority that applies to your circumstances.
11. Information about other people
If a document contains personal information about another person, including a child, please provide only what is necessary for the requested translation or certification service. We process that information in the context of the document and the service requested.
12. Security
We use technical and organisational measures intended to protect information against unauthorised access, loss, misuse or alteration. No website, transmission or storage system can be guaranteed to be completely secure, so please avoid sending information that is not needed for the requested service.
13. Changes to this policy
We may update this Privacy Policy when our services, website tools or legal requirements change. The date at the top of the page shows when this version was last updated.
